Overview

Terry Reigel has described how to use the People Section controls in an article on his website titled Controlling Who is Included. His article includes screenshots and multiple examples.

People Section properties determine (A) which people are included as full members of the web site and (B) what level of detail is shown for included people, excluded people, etc.

Second Site divides people into groups and provides a set of detail filters for each of the groups. Group membership is determined using one or both of the following characteristics:

  1. Included or excluded
  2. Deceased or living

A person is included if they have a person page entry. Excluded people's names, and possibly other data, may appear on the site, but the definition of included is precise: a person who is included gets a person page entry, and a person who is excluded does not.

Deceased and living also have precise definitions. A person is considered living if TMG's Living flag is set to "?" or "Y". A person is considered deceased if TMG's Living flag is set to "N".

While Second Site has the ability to divide people into as many as four groups, it is not imperative that you do so. According to the values you choose for the properties described below, you may have one group, two, three, or four.

Most users do not include everyone from their TMG projects on their sites, and do not show the same depth of information for living people as for deceased people. As a result, they have four groups as shown below:

By default, in a new SDF file the properties are set so that living people are excluded, and less information is shown for excluded living people than for excluded deceased people. That means that two of the groups are empty:

If you leave Exclude Living checked, but set a flag filter to further restrict who is included on the site, that will yield these three groups:

The Include / Exclude panel and the Deceased / Living panel determine how people are divided into the groups described above.

Include / Exclude

You control who is included or excluded using the properties in the Included / Excluded panel of the People Section.

  • You can use the Exclude Living checkbox to exclude living people,
  • you can use the Include Based on Flag properties to control who is included using a custom TMG flag,
  • or you can combine the two.

When you combine the two, the person must pass both filters or they will not be included. So, for example, if you have marked all your close relatives with a custom TMG flag named "CloseRelative", and some of them are living, then you can include only deceased close relatives by setting the controls as follows:

  • Exclude Living checked

  • Include Based on Flag set to "CloseRelative Include Y"

Even though some close relatives pass the second filter, they do not pass the first filter and so they are excluded.

Exclude Living

Note A common problem for TMG users is the Living flag not being set properly. The Set Living=N feature in my TMG Utility program can help fix that problem.

The Exclude Living checkbox controls whether living people are included or excluded. When checked, which is the default value, Living People are excluded.

I recommend that you exclude living people if you publish your site on the World Wide Web.

Include Based on Flag

The Include Based on Flag properties can be used to specify whether a person is included or excluded based on the values of a TMG flag. The properties are fairly simple, but you can use TMG's List of People report to set the value of the flag and that means that you can use the full expressive power of TMG's filter expressions to determine what people are included in the output of Second Site.

The first control is a pull-down menu that lists the flags in your TMG project. The second control is an operator that may be set to "Include" or "Exclude". The third control is a textbox where you key flag values. If you choose Include, then the people with the value(s) specified in the textbox will be included. If you choose Exclude, then the people with the value(s) specified in the textbox will be excluded.

You can include or exclude multiple flag values. That means there are usually two ways of specifying the same group. For example, if the CloseRelatives flag used in an example above has the values "ABCDE", and you want to include people who have the value A or the value B, you can do that two ways

  1. Set the operator to Include and set the textbox value to "AB".
  2. Set the operator to Exclude and set the textbox value to "CDE".

    Do not key the quotes shown above when entering the flag values.

Deceased / Living

You control what level of detail is shown for deceased and living people using the properties in the Deceased / Living panel of the People Section.

By default, Second Site shows all information for deceased people and hides most information for living people. You can configure your site to show all information for living people, or you can limit what is shown. The Detail Filters by Group panel provides some control over which details are shown.

You can configure Second Site to show some of the information about living people using the checkboxes in the Detail Filters by Group panel, but you can not show all their information.

  • You can use the Limit Details for Living People checkbox to hide the details for living people,
  • you can use the Limit Details Based on Flag properties to limit the details based on a custom flag rather than the living flag,
  • or you can combine the two.

Limit Details for Living People

The Limit Details for Living People checkbox controls whether details are suppressed for living people. When checked, which is the default value, details for Living People are suppressed.

If you publish your site on the World Wide Web, and if your site includes living people, I recommend that you suppress details for living people.

Limit Details Based on Flag

Note Most users will not need to use the Limit Details Based on Flag properties.

The Limit Details Based on Flag properties can be used to specify whether Second Site should limit details for a particular person. You can use this capability when you need to limit details based on something other than the Living flag.

The controls work the same way as the Include Based on Flag controls described above.

Using the Limit Details Based on Flag property, Second Site users can control the detail filters as follows:

  • Users can limit details for all living people and also for some people who are not living by combining the Limit Details for Living People and Limit Details Based on Flag properties.
  • Users can select the specific people for whom they want to suppress details by turning off the Limit Details for Living People checkbox and using only the Suppress Limit Based on Flag property.

Here is the full set of possible outcomes using the two detail suppression properties:

  1. Details are not limited based on Deceased / Living

    Limit Details for Living People is unchecked and Limit Details Based on Flag is set to "<none>".

  2. Details are suppressed for Living people

    Limit Details for Living People is checked and Limit Details Based on Flag is set to "<none>".

  3. Details are suppressed for Living people and for some other people

    Limit Details for Living People is checked and Limit Details Based on Flag is set to a Custom Flag name/Custom Flag value

  4. Details are suppressed for selected people only

    Limit Details for Living People is unchecked and Limit Details Based on Flag is set to a Custom Flag name/Custom Flag value.

Even though you can limit details based on something other than the Living flag, the rest of this help page describes the typical case where details are suppressed based on the Living flag only.

Detail Filters by Group

The Detail Filters by Group panel contains a set of data filter properties that are listed below. For each of the detail filters there are up to four settings, one for each of the 4 possible groups (Included Deceased, Included Living, Excluded Deceased, Excluded Living). The properties can be set to either checked or unchecked. When unchecked, the information is not shown. The default values are shown in the table below. An "X" indicates that the default value is checked.

Each of the properties affects how information about a person is treated when that person is in a particular role. So, for example, the Show when Principal to BDB Event controls whether information is shown for a person when they are the principal to a Birth Group, Death Group, or Burial Group event. When information about a principal to an event is suppressed, the event itself is suppressed, so the checkboxes effectively control whether Birth Group, Death Group, or Burial Group events appear for the four different groups.

The Show when Witness to Event controls whether information is shown for a person when they are a witness to an event. When information about a witness to an event is suppressed, but the principals are not suppressed, the event itself will appear in the site, but the name of the witness will not appear.

Each of the properties is described in more detail below.

Show when Principal to BDB Event

These checkboxes control the filtering of Birth Group, Death Group, and Burial Group events. For example, if the subject is a member of the "Included, Living" group, and Principal to BDB Event is unchecked (the default), the subject's Birth, Death, and Burial events will not be included in the site.

Show when Principal to Marriage Event

These checkboxes control the filtering of Marriage Group events. For example, if the subject is a member of the "Included, Living" group, and Principal to Marriage Event is checked (the default), the subject's Marriage events will be included in the site.

Show when Principal to Other Event

These checkboxes control the filtering of all events not controlled by Principal to BDB Event or Principal to Marriage Event. For example, if the subject is a member of the "Included, Living" group, and Principal to Other Event is unchecked (the default), the subject's Census, Occupation, etc., events will not be included in the site.

Show when Witness to Event

These checkboxes control the filtering of witnessed events and/or witnesses to events.

When the subject is a witness to an event, the property controls whether the event is included in the subject's person page entry. When an event is included in the site for some principal or witness, each witness to the event is evaluated according to the Witness to Event property.

When an event is hidden for a principal due to one of the "Show when Principal" properties above, the event is hidden for all principals and all witnesses and the Show when Witness to Event property is ignored.

An Event Example

Consider a Burial event where John Doe is the principal and both Jane Doe and Peter Doe are witnesses. It's possible for such an event to appear in three different person page entries.

  • If Show when Principal to BMD Event is checked for the "Included, Deceased" group, and John Doe is a member of that group,

    and

  • Show when Witness to Event is checked for the "Included, Deceased" group, and Jane Doe is a member of that group,

    and

  • and Show when Witness to Event is unchecked for the "Included, Living" group, and Peter Doe is a member of that group.

then...

Person Page Entry Outcome
John Doe John Doe's Burial event will be included in John Doe's person page entry. Jane Doe will be included as a witness, but Peter Doe will not be included as a witness.
Jane Doe John Doe's Burial event will be included in Jane Doe's person page entry as an event that Jane Doe witnessed. Peter Doe will not be included as a witness.
Peter Doe John Doe's Burial event will not be included in Peter Doe's person page entry.

Show Name when Parent

These checkboxes control the filtering of names in parent relationships. For example, if the subject is a member of the "Included, Living" (IL) group, and Show Name when Parent is checked (the default), the subject's name will appear in the Parent section of his or her included children.

Show Lifespan when Parent

These checkboxes control the filtering of lifespans in parent relationships. For example, if the subject is a member of the "Included, Living" (IL) group, and Show Lifespan when Parent is unchecked (the default), the subject's lifespan will not appear in the Parent section of his or her included children.

Show Name when Child

These checkboxes control the filtering of names in child and sibling relationships. For example, if the subject is a member of the "Excluded, Living" (EL) group, and Show Name when Child is unchecked (the default), the subject's name will not appear in the children section of his or her parents.

In addition, if Show Name when Child is unchecked, the Parent Section will not appear in the Person Entry and parents will not be shown in Search results.

Show Lifespan when Child

These checkboxes control the filtering of lifespans in child relationships. For example, if the subject is a member of the "Excluded, Living" (EL) group, and Show Lifespan when Child is unchecked (the default), the subject's lifespan will not appear in the children section of his or her parents.

Show Primary Image

These checkboxes control the filtering of Primary Person Images. For example, if the subject is a member of the "Included, Living" (IL) group, and Show Primary Image is unchecked (the default), the subject's Primary Person Image will not appear in the subject's person page entry.
